Program and Event Coordinator
Position Overview: The Program and Event Coordinator is a key member of our advancement team reporting to the Director of Advancement. This role is essential in curating and executing events that align with our mission and vision, enhancing our reputation as a premier venue for renowned musicians and exceptional music experiences. The ideal candidate will possess strong organizational skills, have experience in booking acts, and demonstrate a commitment to providing outstanding experiences for our community and patrons.
Key Responsibilities:
Event Programming and Coordination: Plan, organize, and execute a diverse range of events, including educational recitals, teaching artist and ensemble concerts, high-profile concerts with national and international touring artists, marquee events such as HenryFest and House Party, contra dances, community events and facility rentals.
Artist Booking and Relations: Identify, negotiate, and contract with artists and performers that align with 317 Main mission, ensuring a diverse and engaging lineup of events.
Collaboration: Work closely with colleagues in advancement facilities, and communications to ensure events are well-coordinated, effectively promoted, and align with educational programs and advancement goals.
Logistics Management: Oversee all logistical aspects of events, including scheduling, venue setup, technical requirements, staffing, and compliance with safety regulations.
Budgeting and Reporting: Develop and manage event budgets, monitor expenses, and provide detailed reports on event outcomes and financial performance.
Community Engagement: Foster relationships with community partners, vendors, volunteers, and attendees to enhance community involvement and support for our events.
Qualifications:
Education: Bachelor’s degree in Arts Administration, Event Management, Music, or a related field is preferred, though not required.
Experience: Proven experience in event planning and programming, specifically in booking acts and managing events within a non-profit or arts organization.
Organizational Skills: Exceptional attention to detail with the ability to manage multiple events and projects simultaneously.
Communication Skills: Excellent verbal and written communication abilities, with strong interpersonal skills to engage effectively with artists, staff, and community members.
Team Collaboration: Demonstrated ability to work collaboratively within a team-oriented environment. Able to receive and process feedback from multiple stakeholders.
Technical Proficiency: Familiarity with event management software, Microsoft Office Suite, and basic knowledge of audio/visual equipment.
Flexibility: Willingness to work evenings and weekends as required by event schedules.
Work condition: This position is based in Yarmouth, Maine. 317 Maine employees primarily work from our location with some remote flexibility as needed. Candidates are expected to live in Maine or relocate. 317 Main will not provide relocation assistance.
Salary Range: $40,000 - $50,000 commensurate with experience.
